At Ease Your JAM, coordinators are the operational backbone of every session. While conductors handle the musical flow, coordinators ensure everything else - venue, participants, payments, recordings - works like clockwork. Their work lets the jam unfold without friction or confusion.
Pre-Jam Duties
Participant Confirmation: Check attendance, confirm fee collection and share session details via WhatsApp or call if needed.
Venue Coordination: Confirm booking and ensure the space is accessible, clean and equipped (chairs, power etc.).
Gear Check: Review if any gear needs to be carried or rented; confirm with conductor and business.
Reminders: Send reminders to participants a day before with venue map and timing.
On Jam Day
Arrive 15-20 minutes before session starts.
Carry signage, attendance sheet, consent forms (if needed) and optional gear like extension cables or phone stands.
Welcome participants, help them settle in and support the conductor without interfering musically.
During the Jam
Take 2-4 short video clips (2–3 minutes each) when the jam is flowing naturally.
Optional: Capture audio using phone mic or small recorder. No full-session video unless previously approved.
Post-Jam Wrap-up
Ensure all dues are collected.
Upload session clips to the shared Drive folder on the same day or latest by next morning.
Send feedback form link to participants via group or message.
Report attendance and jam highlights in the internal tracker or Notion.
Payment & Process
Payment is role-based and made within 2 days of fee collection.
If the jam is under-attended, coordinator may also serve as assistant conductor (with pre-approval).
Volunteering is possible - those doing so must sign a volunteer consent.
Confidentiality & Conduct
Keep participant details private. Do not share contact lists externally.
Maintain neutrality - no sarcasm, favoritism, or pushing personal opinions during the jam.
Uphold the Code of Conduct at all times.
Who Can Be a Coordinator?
You don’t need to be a musician, but you must be organized, sensitive to group energy and genuinely invested in the participant’s experience. Musical volunteers may later explore conductor roles through observation and practice.
